CrossFit Box Management Software — WODs, Leaderboards, Affiliates

Daily WOD posting, hard class capacity caps, athlete benchmarks (Fran, Murph, 1RMs), live leaderboards, drop-in waivers, and affiliate-fee billing — built for how CrossFit boxes actually run.

CrossFit boxes are not gyms. The community matters more than the equipment, the daily WOD is the product, the coach is the celebrity, and the leaderboard is the reason members keep coming back. Software designed for commercial gyms misses every one of those.

GymViz has a dedicated CrossFit configuration that takes care of the parts of running a box that nobody talks about until they break — drop-in waivers, capped class booking, daily WOD posting, athlete benchmark tracking, the Open and Quarterfinals scoring season, and affiliate-fee renewals every January.

Why gym owners choose GymViz

Daily WOD posting

Post the WOD with movements, scaling options (Rx, Scaled, Foundation), warm-up, and skill work. Members see it on the app the night before.

Class capacity caps

Each class has a hard athlete limit (typically 10–14 for most boxes). Auto-waitlist promotion when someone cancels.

Live leaderboards

Athletes log results, leaderboards rank performance per WOD across the box. Drives the daily competitive spark CrossFit lives on.

Athlete benchmarks

Track 1RM (back squat, deadlift, snatch, clean & jerk), benchmark WODs (Fran, Murph, Helen, Cindy), and the named girls/heroes. See PRs over time.

Drop-in waivers

Visiting athletes complete a digital waiver, pay the drop-in fee, and book a class — all online before they arrive.

Affiliate fee billing

Track your annual CrossFit affiliate fee (USD 3,000) as a recurring expense and tie it to the box-licence renewal date.

Intro / On-Ramp packages

Sell 4-week On-Ramp / Foundations courses with their own scheduling, capacity, and progression to regular membership.

Open / Quarterfinals scoring

During the CrossFit Open, athletes log scores, judges verify, and the box leaderboard rolls up to the affiliate ranking.

Specialty programming

Olympic lifting, gymnastics, endurance — separate programs with their own schedules, coaches, and member tags.

How it works

Whiteboard mode

A TV/iPad display mode shows the day's WOD, the class roster, and the leaderboard live on the box wall.

Coach app

Coaches see their class roster, demo videos for movements, athlete-specific scaling notes, and athlete benchmarks live during the class.

Athlete app

Athletes see the WOD, log results, see their leaderboard rank, view benchmarks history, and book classes — all in one branded app.

Buddy invites

Athletes invite friends to a specific class via WhatsApp. The friend gets a one-class trial slot if there is space.

The drop-in problem and how GymViz solves it

Drop-ins are 5–15% of revenue at most boxes — not huge, but the operational cost is disproportionate. Each drop-in needs a waiver signed, a fee collected, a class booked, a movement-experience disclosure, and a brief introduction to the coach. Done manually it eats 15 minutes per drop-in and creates real liability if the waiver is lost.

GymViz makes drop-ins zero-touch. The visiting athlete books online before they arrive, signs a digital waiver tied to their email and a timestamped IP, pays the drop-in fee through Telr/PayTabs/Stripe, and gets a class confirmation with location and parking instructions. The coach gets a heads-up notification with the athlete's name, CrossFit experience level, and any movement restrictions. By the time they arrive, everything is done.

Affiliate fees and the CrossFit calendar

Every CrossFit affiliate has the same annual rhythm: pay the USD ~3,000 affiliate licence fee in January, run the Open in February, run Quarterfinals in March/April, see signups spike in September after Murph season, and renew memberships after the holiday rush in January.

GymViz tracks this calendar natively. Affiliate fee renewal alerts. Open registration windows with auto-templated WhatsApp campaigns to your members ("register for the Open by X date"). Murph day prep. New Year's January sign-up surge handled with automated trial-conversion sequences. The product knows what time of year it is and adapts the workflows accordingly.

Frequently asked questions

Do you support drop-in athletes?

Yes. Drop-ins fill out a waiver digitally, pay online, and book a class — all before they arrive. The coach gets a heads-up with the athlete's experience level and any restrictions.

Can coaches see the WOD on a wall display?

Yes. Whiteboard mode displays the WOD, the class roster, and the leaderboard live on a TV or iPad mounted in the box.

Do you track 1RMs and benchmark WODs?

Yes. Athletes log 1RMs (back squat, deadlift, clean & jerk, snatch, push press, etc.), benchmark WODs (Fran, Murph, Helen, Cindy, named girls and heroes), and see PRs over time.

Does it integrate with the official CrossFit Games platform during the Open?

Yes. Athletes log scores in GymViz, judges verify, and the box leaderboard rolls up to the affiliate ranking on the Games platform.

Can I sell On-Ramp / Foundations courses separately?

Yes. On-Ramp and Foundations programs have their own scheduling, capacity, pricing, and progression rules. Members graduate to regular class booking automatically.

How does it handle coach commissions?

Per class, per athlete, percentage of revenue, or a hybrid — configurable per coach. Auto-calculated and rolled into monthly payroll exports.
