25-Point Gym Software Features Checklist Before You Buy

Why This Checklist Exists
Switching gym management software is one of the most disruptive operational events a gym can go through. Data migration, staff retraining, member communication, biometric re-enrollment, billing system transition, and integration reconfiguration all happen simultaneously — and all while the gym continues operating normally. The process takes 2–4 weeks at minimum, and if the new software turns out to have critical gaps that weren't identified during evaluation, you face doing it all again 12–18 months later at double the cost and disruption.
The only reliable way to avoid this outcome is rigorous pre-purchase evaluation. This 25-point checklist is the tool we recommend UAE gym owners use before signing any software contract. It's organised by category, uses ✅ for must-haves and 🚩 for red flags to watch for in vendor conversations, and includes 10 questions to ask every vendor before committing.
Category 1: Billing and Payment Automation (7 Must-Haves)
Billing automation is the highest-ROI feature in any gym management platform — recovering late payments, eliminating manual follow-up, and enforcing payment-linked access. Every item below should be a standard feature, not an add-on.
- ✅ Recurring auto-charge: Card on file charged automatically on the renewal date, without any staff action. Includes automatic retry logic (retry at 24 and 48 hours) on failed charges.
- ✅ FTA-compliant VAT invoice generation: Automatic invoice with TRN, VAT breakdown, and sequential invoice number for every transaction — card, cash, bank transfer, and BNPL. Not manual template. Not optional configuration. Automatic and always-on.
- ✅ Multiple payment methods: Card on file via Stripe, cash logging with receipt generation, bank transfer matching via reference code, and Tabby BNPL for annual plans.
- ✅ Pro-rated billing: Members who join mid-month are automatically charged for the remaining days in the current billing cycle, then full billing from the next cycle. Calculated at the day level, not week.
- ✅ Membership freeze with billing pause: When a member freezes, billing stops on the freeze start date and resumes automatically on the configured unfreeze date. No manual steps, no billing errors.
- ✅ Refund management with audit trail: Every refund generates a VAT credit note, deducts from the revenue record, and creates an audit log showing who processed it and when.
- ✅ WhatsApp payment reminders with direct pay links: Automated reminder sequences (pre-due, due-day, overdue) with unique member-specific payment links. Via official WhatsApp Business API, not unofficial bulk tools.
Category 2: Biometric Access Control Integration (5 Must-Haves)
ZKTeco biometric access control is standard in UAE gym operations. Any gym software that cannot integrate directly with ZKTeco devices is not fit for purpose in this market.
- ✅ SDK-level ZKTeco integration: Direct API or SDK connection to ZKTeco devices — not a CSV export workflow. Membership status changes must propagate to the device within 60 seconds.
- ✅ Real-time membership enforcement: The biometric device checks membership status against the live database on every scan. Expired members are refused entry in real time, not after a delayed sync.
- ✅ Automatic access suspension: Failed payment after configured grace period triggers automatic access suspension. No staff action required. Access restores automatically when payment is received.
- ✅ Time-restricted access rules: Off-peak membership plans can be enforced with time-based access rules at the device level. A member on an Off-Peak plan cannot enter after 3 PM — enforced automatically, not by staff.
- ✅ Multi-branch access rules: Members' cross-branch permissions are enforced at each branch's ZKTeco device automatically. A Basic (home-branch-only) member cannot enter a different branch; a Premium member can access all branches without re-enrollment.
Category 3: Member Management (5 Must-Haves)
- ✅ Rich member profiles: Photo, health notes, fitness goals, membership history, billing history, biometric enrollment status, and visit frequency score — all in one profile view accessible from any device.
- ✅ Class booking and waitlist management: Member-facing self-service booking via app and web portal. Waitlist with automatic WhatsApp promotion on cancellation. Cancellation policy enforcement without staff intervention.
- ✅ Attendance history and visit frequency tracking: Every biometric check-in creates an attendance record. Visit frequency is calculated automatically and displays in the member profile and analytics dashboard.
- ✅ Referral tracking and attribution: Unique referral links per member. Sign-ups via referral link are automatically attributed and referral credits are applied to billing without staff processing.
- ✅ Churn risk indicators: Automated churn risk scoring based on declining visit frequency, missed payments, and engagement drops. At-risk members flagged in a manager dashboard for personal follow-up.
Category 4: Reporting and Analytics (5 Must-Haves)
- ✅ Real-time revenue dashboard: Daily, weekly, and monthly revenue with trend lines. Updates live, not in delayed batch reports. Accessible from mobile.
- ✅ Churn rate reporting by plan type and cohort: Monthly churn rate segmented by membership plan, member tenure cohort, and acquisition source. Single report, not manual Excel calculation.
- ✅ Class performance reports: Fill rate, cancellation rate, no-show rate, and waitlist volume per class, per time slot, and per instructor. Generated automatically, not on request.
- ✅ Peak hour heatmap: Visual display of check-in volume by hour and day-of-week over the last 30 days. Used for staffing decisions and class schedule optimisation.
- ✅ VAT reports for FTA submission: Quarterly VAT summary formatted for FTA EmaraTax portal submission, showing total taxable supplies, output VAT, and any input VAT credits.
Category 5: Platform and Support (3 Must-Haves)
- ✅ White-label member mobile app: iOS and Android app published under your gym's name, not the vendor's. Members download "[Your Gym Name]" — not the software company's brand.
- ✅ UAE-based customer references: At minimum 3 UAE gym operators currently live on the platform willing to take a reference call. If a vendor cannot provide UAE references, they don't have meaningful UAE deployment experience.
- ✅ Data export at any time at no cost: All member data, billing history, and attendance records exportable as CSV without restriction and without cancellation fee.
Contract Red Flags: Walk Away From Any of These
- 🚩 Minimum 24-month contracts without performance guarantees: Legitimate software vendors are confident in their product. Mandatory 24-month locks with no exit clause suggest the vendor knows the product has problems that only manifest after the honeymoon period.
- 🚩 Per-member pricing that scales unpredictably: A pricing model where your monthly bill depends on member count creates significant financial uncertainty as you grow. Prefer flat monthly fees or tiered plans with clear price points.
- 🚩 Biometric integration as a paid add-on: ZKTeco integration is standard requirement in UAE. Any vendor selling it as a premium add-on at AED 500+/month is monetising a basic necessity.
- 🚩 WhatsApp automation as a separate tool: If WhatsApp automation requires a separate subscription to a third-party tool (Twilio, a separate WhatsApp platform, etc.), you're building a fragile integration that will break and create ongoing maintenance cost.
- 🚩 Support only by ticket with no UAE time zone coverage: A gym is a real-time business. If your billing system goes down on a Friday evening and your vendor's support ticket response time is 48 hours, you have a serious problem.
- 🚩 No UAE customer references on request: This is a non-negotiable disqualifier. UAE gym operations have specific regulatory, cultural, and technical requirements. Software that hasn't been proven in UAE conditions is high risk.
The 10 Questions to Ask Before Signing
Ask every vendor these questions in a structured demo or call and document their answers:
- Does ZKTeco biometric integration come standard or as a paid add-on? Is it SDK-level or export-based?
- Is WhatsApp automation a native feature or a third-party integration requiring a separate subscription?
- Does the platform auto-generate FTA-compliant VAT invoices with our TRN for every payment type including cash?
- How many UAE gyms are currently live on this platform? Can I speak to three of them by phone this week?
- What is your multi-branch pricing model — per branch flat fee, per member, or included?
- Can I export all my data at any time in CSV format at no cost, including during an active subscription?
- What is your onboarding timeline in UAE, and does your team handle data migration from our current system?
- What is your SLA for P1 (total platform outage)? What is the escalation path and expected resolution time?
- Is the member mobile app published under our gym's developer account and brand name?
- What happens to our member biometric records and billing data if we cancel our subscription?
A vendor who answers all 10 confidently, provides UAE references, and doesn't hedge on data portability is likely a good platform to evaluate further. A vendor who deflects on any of these questions is showing you the product's gaps before you've signed. Use these answers alongside the UAE gym membership software buyer's guide for a complete evaluation framework. For GymViz specifically, the Dubai gym management software page walks through every checklist item above.
